Booking Terms and Conditions
Your agreement with Urbanity Travel
You will review your travel documents for accuracy upon receipt and understand that you may contact Urbanity Travel if you have any questions.
Travel documentation appropriate for entry to your itinerary destinations, such as passports, visas & inoculation certificates, remain each traveler’s responsibility. It is each traveler’s responsibility to make certain that they have proper immunizations before travel - please see your health provider for advice. Travelers who do not meet advised requirements will be denied boarding. Valid passports are required for all international destinations. If a passport is required to travel, the expiration date must be at least six (6) months following the return date of the planned travel. Each foreign country holds different views of past criminal offenses - if you have a current or past offense, please contact that country directly for entry and exit requirements. Travelers with DWI or DUI records should check whether current rules exclude admission to foreign destinations. Urbanity Travel feels it is an invasion of privacy for members of our staff to make such an inquiry and these requirements remain the traveler’s responsibility. For further information on travel requirements, please visit the U.S. State Department website: travel.state.gov.
You understand that the Transportation Security Administration (TSA) requires you to carry a government-issued identification card in order to board a flight. You have been advised that the name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on your airline ticket and in your booking records. Your acknowledge that your failure to strictly comply with these requirements may result in denied boarding or an undue delay at an airport security checkpoint causing me to miss your flight. You further acknowledge that beginning Oct. 1, 2021, you must present a driver's license or another form of identification that complies with the requirements of the Federal Real ID Act (www.dhs.gov.real-id).
Check-in & Departure Responsibilities:
It is strongly recommended that you check in a minimum of 2 hours prior to scheduled departure for domestic flights and 3 hours prior to scheduled departure for international flights. Recommended check-in times are subject to change without notification. It is the traveler’s responsibility to reconfirm flight times at least 24-72 hours prior to scheduled flights. Urbanity Travel will not assume responsibility for any air or schedule changes. It is the traveler’s responsibility to remain abreast of changes in condition or airport rules that might require earlier arrival times. This information can be found when entering your confirmation number on the airline website. Certain countries require departure taxes that require payment in cash when checking in either online or at the airport and are unable to be pre-paid.
For your protection, it is strongly recommended that you purchase trip cancellation and travel accident insurance. However, no representation or description of the insurance made by Urbanity Travel to you constitutes a binding assurance or promise about the insurance. Urbanity Travel is not an insurance company and has no responsibility for the submission, payment, or adjustment of any insurance claims. Any insurance claims that may fall under the relevant travel insurance policy must be submitted to the insurance company identified in the policy.
Urbanity Travel is not the source or supplier of the travel services requested and acts solely as a booking agent for disclosed principal supplier cruise lines, hotels, airlines, ground transportation and other companies providing accommodations, transportations, and/or other services. Each of these suppliers is an independent entity with its own management and is not subject to the control of Urbanity Travel. Urbanity Travel has no special knowledge regarding the financial condition of the suppliers. You have been advised that the suppliers whose names appear in the information supplied to you are responsible for providing the travel services you have purchased. You consent to and request the use of those suppliers and agree not to hold Urbanity Travel responsible should any of these suppliers: 1) Fail to provide the travel services you have purchased. 2) Fail to comply with the applicable law. 1) Engage in any negligent act or omission that causes you or your fellow travelers any injury, damage, delay, or inconvenience.
Urbanity Travel shall not be liable for any accident, injury, property damage or personal loss to the client or to those traveling with the client in connection with any travel services we have booked, including but not limited to acts of God, weather conditions, natural disasters, pandemics, acts of governments or other authorities, wars, civil disturbances, riots, strikes, epidemics, acts of terrorism, breakdown in equipment, theft, delay, fuel increases or cancelation, acts or omissions of the suppliers or their failure to provide services or adhere to their own schedules. You hereby release Urbanity Travel from all claims arising out of any problem covered in this paragraph.
You acknowledge and understand that cruise lines, tour operators, and other suppliers have their own contracts covering cancellation penalties and other terms and conditions, and that you may be bound by those contracts regardless of whether you receive notice of their terms.
You acknowledge and accept that there are cancelation policies, change fees and penalties that apply to your travel plans and services as set by the travel suppliers. If for any reason your credit card charges are later declined, reversed, or if Urbanity Travel is unable to submit your payment for the travel plans and services, you acknowledge that this is a binding contract and Urbanity Travel will be entitled to recovery, including reasonable attorneys’ fees in connection with collection.
Because each traveler's risk tolerance is different, Urbanity Travel is not in a position to advise you whether you should travel to any particular place at any particular time. Rather, to assist you in making an informed decision, you should refer to objective third-party sources of travel information, such as that maintained by the U.S. Department of State (travel.state.gov).
COVID-19 and Health/Special Requirements
As the worldwide COVID-19 coronavirus pandemic remains ongoing at this time, you acknowledge that for this reason, and other reasons not reasonably foreseeable at this time, these travel plans may be interrupted or canceled by the supplier that is providing them, a government entity or other third party over which Urbanity Travel has no control. You further acknowledge that the supplier’s own cancellation, rebooking and refund policies, subject to any applicable law that is now or may later be in effect, will govern your rights and remedies, including your right to receive a refund, in such an event. Moreover, you understand that should you elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances. You agree to hold Urbanity Travel harmless and release it from any and all liability for any damages, including but not limited to monetary losses, you may incur as a result of such interruption or cancellation of these travel plans.
It is your responsibility to ensure you are aware of any health requirements, health advisories, or health travel restrictions applicable to your travel destinations and to ensure that you carry all necessary vaccination documentation. Urbanity Travel is not responsible for providing you with this information. Travel carriers and local authorities at travel destinations may require specific testing prior to boarding and/or upon arrival at your destination, including, but not limited to, a temperature check as a result of the COVID-19 pandemic. You may be denied entry onto your carrier and/or entry upon arrival at your destination, or be required to self-quarantine at your destination and upon your return to the United States. You must comply with local government regulations. Additional costs are your responsibility. Check with the Center for Disease Control and Prevention for current information prior to and during your travel. www.cdc.gov.
By paying the planning fee and/or trip deposit, you consent that you have read and accept the Terms & Conditions of Urbanity Travel on behalf of yourself and anyone in your party.
